Office Administrator (Local Nationals only)

Summary

Responsible for various administrative tasks, greeting visitors, and answering telephones. Additionally, assist multiple departments with travel, meeting arrangements, and other job requirements when needed.

Principle Responsibilities and Duties

  • Greet visitors with a positive attitude, ensure they are signed in, and direct them to the appropriate location
  • Answer and transfer calls in a pleasant, professional, and timely manner
  • Handle employee travel arrangements, including booking flights, car rentals, and hotels, and coordinate with colleagues in other entities when needed
  • Draft, stamp, and send company letters, ensuring the Letter Log is updated and accurate
  • Arrange company meetings for assigned departments, coordinating conference rooms and food as needed
  • Collaborate with the employee engagement committee to organize event locations and materials, ensuring they are communicated through the correct channels
  • Process administrative-related invoices and forward them to the finance department with the appropriate approvals and coding
  • Ensure business cards and nameplates are prepared and issued as requested
  • Handle emails (e.g., RFQ, ITT, EOI, and vendor invoices), forwarding relevant messages to the appropriate departments or individuals.
  • Coordinate document courier services, package pickups, and distributions, keeping accurate logs
  • Monitor office supplies and materials to ensure stock availability at all times
  • Work with procurement to register new vendors and raise SAP PRs as necessary
  • Assist with PRO work and other team projects as needed
  • Coordinate internal and external events, preparing necessary training supplies when requested
  • Schedule pest control, maintenance, and waste collection with third-party vendors as needed
  • Record minutes of meetings, and prepare presentations and reports as required by management
  • Comply with all Enerflex HR, Quality, HSE, and all the Company policies, procedures, processes, work instructions and guidelines
  • Perform all other duties as assigned by Supervisor / Manager

Qualifications

  • Minimum High School diploma or equivalent required; some college experience preferred         
  • Intermediate skill level for Microsoft office products         
  • Fluent in English command (written and spoken). Arabic is a plus
  • Ability to multi-task, prioritize, take initiative, and work efficiently under pressure        
  • Excellent interpersonal, communication, and organizational skills, with a positive attitude and high integrity

Physical Requirements

Office base environment. Flexibility is required.
