Supervisor, Document Control

Summary

In accordance with the goals and initiatives set forth by the Company and Engineering Department; the Supervisor, Document Control will be responsible for guaranteeing documentation is methodically organized and aligned with Enerflex document management procedure and process, while leading a team in a high-energy manufacturing environment.

Principle Responsibilities and Duties

  • Direct oversight of document control administrators.
  • Plan and directs all aspects of the document control activities, responsible for assigning of work load and maintaining proper staffing levels within team.
  • Identify and address gaps in document control practices and procedures.
  • Lead development and change within document control.
  • Lead and support recruitment and staffing requirements of group.
  • Develop, implement, and train team members on procedures.
  • Evaluate teams career development plans through periodic reviews and provide mentoring to improve staff effectiveness and skills. 
  • Set goals and objectives for the department. Ensure areas of responsibility meet goals and objectives by providing systems, resources and training as needed.
  • Supervise the coordination of records and information through processing, distribution, organization, storage and retrieval, and ultimate disposition.
  • Write, maintain, enforce, and distribute document control procedure manual (approved by Director, Engineering).
  • Attend project kick off meetings & all other necessary department related meetings when required.
  • Manage document control software (Adept) and explore its functionality to be utilized to its fullest.
  • Explore development of Document Control SharePoint site.
  • Manage all Document Control related reports.
  • Responsible for ensuring documentation is systematically managed and aligned with Enerflex processes and procedures. 
  • Update project schedule dates in Adept / IMACs
  • Expedite vendors and customers on project related documentation
  • Generate, download & edit IMAC s BOM & retrieve vendor data
  • Submit project customer/vendor transmittals
  • Receive incoming customer transmittals
  • Generate, maintain & update project document register
  • Compile, print and ship project IOMs and Quality manuals
  • Model and champion Enerflex core values in ways that center team culture on these values.
  • Abide by and promote Enerflex’s HSE policy

Qualifications

  • ​​​​​Two year associates degree in business or related field preferred
  • 7+ years’ experience in document control support and supervision
  • Exposure to the oil & gas industry would be preferred
  • Experience with multiple document management systems preferred
  • Advance knowledge of Microsoft Office, SharePoint
  • Excellent verbal and written communication skills
  • Experienced with working in fast-paced environments demanding strong organizational, technical, and interpersonal skills
  • Time management skills including multi-tasking competing priorities as needed
  • Demonstrated self-motivation, ethical behavior, and team player
  • Willing to continuously and proactively collaborate, share, and seek guidance through open dialogue
  • Having a positive attitude, a desire to learn and be challenged

Physical Requirements

  • Fast-paced general office environment. Many tasks have high degrees of time sensitivity.
  • May be exposed to confidential information.
  • May be required to work non-standard hours including evenings and weekends.
