Service Coordinator I
Summary
Assist in the preparation of SOX compliance reports for senior management and auditors. Identify financial and operational risks that could affect SOX compliance. Track and report any internal control deficiencies, recommending corrective actions to management. Claim Intake and Documentation: Collect necessary information (e.g., product details, purchase date, defect issue) from customers to initiate warranty claims.
Principle Responsibilities and Duties
- Data Entry & Ticket Management:
Accurately enter daily service tickets into SAP, ensuring precision and attention to detail.
- Submit warranty claims across AMS branches within required timeframes.
Financial Reconciliation:
- Reconcile purchasing cards (pcards) for designated branches, adhering to company policies and procedures.
SOX Compliance & Documentation:
Ensure all sales and service orders comply with SOX procedures and documentation standards.
- Support the team by reviewing and confirming the accuracy of service orders in line with SOX compliance requirements.
Reporting & Updates:
- Track completed service orders and verified technician hours and service report accuracy.
Job Order Management:
- Open new job orders, ensuring all information is accurate, complete, and submitted promptly to maintain workflow efficiency.
Customer & Team Collaboration:
- Foster professional relationships with customers and team members, promoting a positive, collaborative work environment.
- Assist colleagues with complex issues by contributing critical thinking and problem-solving skills.

Additional Responsibilities:
- Perform any other tasks or duties as assigned by the management team.
Qualifications
- High school diploma or general education degree (GED) required; college degree preferred.
- Must have 2+ years of comparable work experience, experience in the oil and gas industry would be an asset.
- Extensive experience in administrative roles, with a solid working knowledge of SAP systems and related enterprise platforms.
- Highly organized and efficient, with exceptional multitasking abilities and strong attention to detail.
- Excellent communication skills, both verbal and written, enabling effective interaction across all organizational levels.
- Advanced proficiency in Microsoft Office Suite, particularly Excel, with a focus on data analysis, reporting, and process optimization.
- Self-motivated and collaborative, capable of working independently as well as contributing effectively within team settings.
- Proactive problem-solver, with a customer-oriented mindset that supports and enhances operational performance.
- Consistent track record of meeting deadlines and maintaining high productivity in fast-paced, dynamic environments.
- Adaptable and eager to learn, with a flexible approach to supporting various functions and responsibilities as needed.
Physical Requirements
Work is primarily indoors in a climate-controlled building. May require work outside the normal 40 hrs/wk. work schedule at certain times of the year during time sensitive projects. May be required to travel occasionally.
