Manufacturing Assistance
Summary
The Administrative Assistant provides comprehensive administrative support to the Manufacturing organization and its leadership team. Responsibilities include document management, reporting, scheduling and calendar coordination, expense processing, records management, and general office administration. This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage confidential information with discretion. The Administrative Assistant serves as a key administrative resource, helping ensure efficient operations and effective coordination across the department
Principle Responsibilities and Duties
- Provide administrative support to the Manufacturing organization and leadership team.
- Maintain and update departmental records, databases, reports, and other business documentation.
- Prepare, compile, and distribute reports, presentations, and operational information as needed.
- Coordinate calendars, meetings, and scheduling activities for designated leaders and team members.
- Assist with managing email correspondence, communications, and follow-up actions as directed.
- Prepare, submit, and track expense reports and other administrative documentation.
- Organize, maintain, and distribute both electronic and hard-copy records, drawings, work packets, and related manufacturing documentation.
- Upload, organize, and maintain digital files, photographs, and project-related documentation.
- Ensure accurate recordkeeping and document control practices, including maintaining current revisions and versions of applicable documents.
- Handle confidential personnel, operational, financial, and business information with a high degree of discretion and professionalism.
- Support departmental initiatives, special projects, and process improvement efforts.
- Build and maintain effective working relationships with employees, leaders, vendors, and external partners.
Perform other duties as assigned.
Qualifications
- High School Diploma required; Associate Degree, professional certificate, or equivalent administrative experience preferred.
- Five or more years of administrative support experience, preferably in a manufacturing, industrial, or engineering environment.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
- Experience with databases, document management systems, and ERP systems preferred.
- Excellent organizational, time management, and prioritization skills.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to work independently and collaborate effectively with all levels of the organization.
- Demonstrated ability to maintain strict confidentiality and exercise sound judgment when handling sensitive personnel, operational, financial, and business information.
- Professional demeanor with strong interpersonal skills and the ability to build effective working relationships with employees, leaders, vendors, and external partners.
Experience supporting leadership personnel through calendar management, correspondence, meeting coordination, expense reporting, and other administrative functions.
Physical Requirements
Fast-paced general office environment. Many tasks have high degrees of time sensitivity.
