Manager, Document Control

Summary

The Manager, Document Control, is responsible for leading the Document Control function, ensuring effective project documentation management, and driving transformation of document control processes, tools, and standards. Responsibilities include maintaining critical reports, updating document control systems, organizing contract documents and drawings, handling sensitive project data, and ensuring all documentation is methodically organized and aligned with Enerflex document management procedures and processes. This role also coordinates with cross-functional teams to support the successful execution of projects.

Principle Responsibilities and Duties

 

eadership & People Management

  • Lead and support the Document Control team by providing direction, workload planning, prioritization, and daily oversight.
  • Manage staffing, resource allocation, and team structure to meet project and business needs.
  • Supervise direct reports, including hiring, training, work assignments, performance management, recognition, and corrective actions.
  • Drive employee development through training, coaching, and knowledge sharing to improve capability, consistency, efficiency, and retention.
  • Foster a culture of accountability, teamwork, continuous improvement, and alignment with Enerflex's core values.

Document Control Strategy, Governance & Compliance

  • Establish, maintain, and enforce document control standards that align with Enerflex procedures and project requirements.
  • Ensure compliance with customer, contractual, project, and internal documentation requirements, including revision control, transmittals, document registers, and deliverables.
  • Manage electronic document repositories to ensure documentation is accurate, traceable, accessible, and organized.
  • Maintain project document registers, standard forms, vendor records, and other controlled documentation.

Process Transformation & Continuous Improvement

  • Lead the standardization and improvement of Document Control processes across projects and locations.
  • Evaluate workflows, systems, and pain points; implement improvements that reduce rework, manual effort, cycle time, and process variation.
  • Establish scalable governance, including standardized workflows, naming conventions, revision control, transmittals, document registers, and accountability.
  • Promote effective use of document management systems and digital tools to improve traceability, reporting, lifecycle management, and user adoption.
  • Develop change management plans, training, and communications to support new processes and tools.
  • Monitor KPIs, audits, lessons learned, and stakeholder feedback to drive continuous improvement.

Project Execution & Cross-Functional Coordination

  • Coordinate document flow among Engineering, Project Management, Procurement, Quality, Receiving, vendors, customers, and other stakeholders.
  • Participate in project kickoff and departmental meetings to confirm documentation requirements, deliverables, and communication protocols.
  • Support timely submission, review, retrieval, and closeout of project documentation by coordinating with vendors and customers.
  • Manage vendor and project documentation within company systems.

Performance Management, Reporting & Systems

  • Develop and report KPIs, resource plans, departmental objectives, and performance metrics.
  • Maintain quality measurement tools and reporting to identify trends and support decision-making.
  • Lead or support implementation and optimization of Document Control systems and user adoption.

HSE, Quality & Organizational Expectations

  • Promote compliance with Enerflex Health, Safety, and Environmental (HSE) policies.
  • Participate in Quality Improvement initiatives and other organizational projects as assigned.

Qualifications

Education

  • Bachelor's degree preferred; relevant directly related industry experience may be considered in lieu of formal education.

 

Previous Assignments

  • Eight plus years in document control; minimum of three years’ experience in managing staff
  • Exposure to the oil & gas industry would be preferred
  • Experience managing remote teams across multiple locations is preferred

 

Required Skills/Tools

  • Strong leadership skills.
  • Team player with the ability to function effectively in a matrix organization.
  • Advanced knowledge of Microsoft Office and SharePoint.
  • Demonstrated self-motivation, ethical behavior, and commitment to teamwork.
  • Experience with multiple document management systems preferred.
  • Experience working in fast-paced environments requiring strong organizational, technical, and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Positive attitude with a desire to learn, grow, and take on new challenges.
  • Proactively identifies opportunities for process improvement and recommends and implements solutions.
  • Strong time-management skills, including the ability to manage multiple competing priorities.
  • Willingness to collaborate proactively, share knowledge, and seek guidance through open and constructive dialogue.

 

 

Physical Requirements

  • Fast-paced general office environment. Many tasks have high degrees of time sensitivity.
  • May be exposed to confidential information.
  • May be required to work non-standard hours including evenings and weekends
