Major Project Coordinator

Summary

The Major Projects Coordinator is responsible for planning, coordinating, and executing all project-related logistics activities from Shipping Release through final site delivery for modular and packaged equipment projects.

This role ensures alignment between engineering, procurement, fabrication, and site execution teams to support safe, cost-effective, and schedule-compliant transportation of materials, skids, modules, and equipment both domestically and internationally.

The position plays a critical role in mitigating schedule risk, protecting margins, and ensuring compliance with shipping regulations, international customs requirements, and client-specific documentation standards.

Principle Responsibilities and Duties

  • Develop and maintain project logistics execution plans aligned with the Project Execution Plan (PEP).
  • Coordinate shipment of modular skids, structural steel, vessels, and ancillary equipment from fabrication facilities to final project site.
  • Interface with engineering to confirm shipping splits, weight calculations, drawings, and transport restrictions.
  • Coordinate with procurement and expediting teams to track vendor readiness and align shipping dates with fabrication completion.
  • Coordinate with Shipping for documentation including:
    • Commercial Invoices
    • Packing Lists
    • Certificates of Origin
    • HS Codes
    • Bills of Lading
    • Customs documentation
  • Ensure compliance with Incoterms (EXW, FCA, CIF, DAP, etc.) and contractual logistics obligations.
  • Track and report logistics milestones and potential schedule impacts to the Project Manager.
  • Participate in load-out planning meetings and oversee physical load-out activities when required.
  • Support risk mitigation planning for transportation constraints, weather impacts, port congestion, and geopolitical risks.
  • Track logistics costs against approved budgets and support cost forecasting.
  • Identify recovery strategies in the event of shipment delays.

Qualifications

  • Bachelor’s degree in Supply Chain, Logistics, Engineering, Business, or equivalent experience preferred
  • 5+ years of logistics coordination experience within oil & gas, energy, or heavy industrial EPC projects.
  • Experience supporting modular fabrication yards and heavy equipment transportation.
  • Working knowledge of international freight forwarding and customs processes.
  • Familiarity with Incoterms and global trade compliance.
  • Experience coordinating shipments of oversized or overweight cargo.
  • Understanding of fabrication sequencing and shop load planning.
  • Experience supporting projects with domestic and international destinations.
  • Strong organizational skills with ability to manage multiple shipments across concurrent projects.
  • Solid knowledge of shipping documentation requirements and HS code classification.
  • Comfortable interfacing with project managers, fabrication teams, freight forwarders, and clients.
  • Experience with ERP systems, shipping tracking tools, and Excel-based cost tracking.

Fast-paced general office environment. Many tasks have high degrees of time sensitivity. Ability to support extended hours during critical shipment windows.
