Executive Assistant to CEO
Summary
As the Executive Assistant to the Chief Executive Officer, you will be responsible for providing comprehensive administrative support to the CEO, managing communications, schedules, and strategic priorities to enhance the CEO’s effectiveness and organizational impact. This position requires exceptional judgment, a high level of confidentiality, attention to detail, and the ability to anticipate needs in a fast-paced, dynamic environment.
Principle Responsibilities and Duties
- Manage the CEO’s calendar, travel plans, agendas, and correspondence, including highly confidential materials.
- Serve as the primary liaison between the CEO, board members, senior management, and external stakeholders.
- Distribute relevant updates and materials to Board Members.
- Manage Board calendars and contact lists.
- Organize and prioritize requests, providing recommendations and making informed decisions consistent with the CEO’s leadership style and company policies.
- Oversee special projects, ensuring seamless coordination, timely completion, and effective communication.
- Draft correspondence, reports, and presentation materials to support executive operations.
- Maintain and enhance the CEO’s professional profile and represent the CEO in both internal and external communications.
- Coordinate hospitality and logistical arrangements for board members, visitors, and special events.
- Track project progress, monitor key initiatives, and support reporting on business performance as needed.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent professional experience.
- 5+ years of experience supporting C-level executives in a corporate environment.
- Expert proficiency in Microsoft Office Suite, TEAMS and Concur
- Outstanding organizational, time management, and written and verbal communication skills.
- Proven ability to handle multiple priorities independently and exercise discretion and judgment in managing confidential information.
- Demonstrated professionalism and ability to work effectively with diverse internal and external stakeholders.
