Document Control Administrator

Summary

With a strong foundation of integrity, leadership, and accountability, the Lead – Document Control provides both strategic direction and hands-on leadership to ensure all project and corporate documentation is accurately controlled, maintained, and compliant with Enerflex document management procedures and processes. This role supports successful project execution by driving document control governance, ensuring regulatory and contractual compliance, and promoting continuous improvement across operations and capital projects.

Principle Responsibilities and Duties

  • Lead document control activities for Enerflex operations and capital projects
  • Provide day-to-day leadership and guidance to document control personnel
  • Support interviewing and training department employees
  • Train team members on document control standards, procedures, and best practices
  • Plan, assign, and prioritize departmental workloads to meet project schedules and deadlines
  • Address departmental issues, resolve conflicts, and implement effective problem-solving solutions
  • Oversee the coordination of records and information, including processing, distribution, organization, storage, retrieval, and final disposition
  • Develop, maintain, enforce, and distribute document control procedures and manuals, in coordination with Engineering Management
  • Attend project kickoff meetings and other department- or project-related meetings as required
  • Generate, and review all document control–related reports and metrics
  • Maintain and update project document schedules and key milestone dates
  • Maintain applicable engineering boardwalk boards and visual management tools
  • Prepare and submit customer and vendor document transmittals in accordance with project requirements
  • Perform document control training and briefings for new engineering hires
  • Generate and maintain initial customer document schedules and ensure ongoing compliance
  • Work closely with project managers and cross-functional teams to ensure documentation and data requirements are met accurately and on time
  • Maintain the Electronic Document Management System (EDMS) and support internal and external audits
  • Track document revisions, transmittals, and deliverables, and generate status reports as required
  • Manage and control the flow of documentation between clients, vendors, and internal stakeholders
  • Demonstrated knowledge of Quality Control (QC) Manuals and Installation, Operation, and Maintenance (IOM) Manuals, including the ability to locate, retrieve, and compile required QC documentation to produce complete, compliant manuals

Qualifications

  • Minimum of 10 years of document control experience, preferably within engineering, construction, or energy-related industries
  • Proven experience managing large volumes of technical documentation
  • Extensive experience working with multiple Electronic Document Management Systems (EDMS)
  • Advanced proficiency in Microsoft Office applications
  • Experience with engineering, architectural, and construction documentation, including drawings, specifications, maps, and technical packages
  • Strong understanding of document workflows, approval processes, and engineering/construction deliverables
  • Demonstrated ability to work effectively in fast-paced, deadline-driven environments
  • Proven leadership experience supporting diversified teams and complex projects
  • Strong communication skills with the ability to interact effectively with technical and non-technical stakeholders
  • Solid understanding of technical terminology and documentation standards
  • Experience assembling, organizing, and validating QC documentation to ensure completeness and accuracy of manuals prior to submission.

Physical Requirements

Fast-paced general office environment. Many tasks have high degrees of time sensitivity. Domestic and international travel is possible on occasion.
