Contract Specialist (Legal and Technical Review)
Summary
The Contract Specialist will serve as the primary point of contact for reviewing commercial, technical, and legal specifications within bids across all business units, as well as vendor contracts. This role will be responsible for ensuring that bids and vendor contracts meet company standards, contractual obligations, and regulatory requirements. The Contract Specialist will work closely with various stakeholders to analyze documents, identify potential risks, and provide recommendations to enhance competitiveness, compliance, and vendor relationships.
Key Responsibilities
- Review bid documentation, including commercial, technical, and legal specifications, as well as vendor contracts, to ensure alignment with company policies, standards, and objectives.
- Analyze bid requirements and vendor contract terms to identify potential risks, ambiguities, or inconsistencies that may impact competitiveness, compliance, or vendor relationships.
- Collaborate with cross-functional teams, including sales, operations, finance, and legal, to gather necessary information, clarify requirements, and negotiate favorable terms for bid submissions and vendor contracts.
- Provide timely and thorough feedback to stakeholders on bid documents and vendor contracts, highlighting areas for improvement and proposing solutions to address potential issues.
- Support negotiations with clients, partners, and vendors regarding bid terms, contract terms, and pricing, working closely with the legal team to address contractual matters.
- Stay updated on relevant laws, regulations, and industry standards affecting bid submissions, vendor contracts, and procurement processes.
- Serve as a resource for business units regarding bid-related inquiries, vendor contract management, and procurement processes, providing guidance and training as needed.
- Participate in cross-functional initiatives and process improvement efforts to streamline bid management, vendor contract management, and enhance organizational effectiveness.
- Develop and maintain templates, guidelines, and best practices for bid preparation and vendor contract management, ensuring consistency and efficiency across business units.
Qualifications
- Bachelor's degree in business, law, or a related field; advanced degree or certification (e.g., JD, MBA) considered an asset.
- Prior experience in bid management, contract review, or procurement in a corporate or legal environment
- Strong understanding of commercial, technical, and legal aspects of bid submissions, including pricing, specifications, terms, and conditions.
- Excellent analytical skills with the ability to assess complex documents and identify key issues and risks.
- Effective communication and interpersonal skills, with the ability to collaborate with diverse stakeholders and influence decision-making.
- Detail-oriented with a commitment to accuracy and quality in work product.
- Ability to manage multiple priorities and deadlines in a fast-paced, dynamic environment.
- Proficiency in Microsoft Office suite and bid management software/tools.
- Familiarity with relevant laws, regulations, and industry standards related to bidding and procurement processes.
