Accounts Payable Administrator

Summary

Reporting to the Team Lead Accounts Payable, the Accounts Payable Administrator will be responsible to efficiently and effectively record, match and process accounts payable transactions for the Canadian Region as well as execute weekly payment runs, process wires and reconcile statements.

 

The right candidate will have strong knowledge of accounts payable, data entry skills, be organized and have the ability to handle a busy and varied workload.  Strong communication skills and the ability to work collaboratively but with minimal supervision are key.

Principal Responsibilities and Duties

•    Daily data entry consisting of PO (3-way match) and non-PO entries by ensuring proper approvals are obtained and resolve discrepancies by working with purchaser as they arise.
•    Run weekly payment runs includes wires, ACH and cheques.
•    Respond to vendor queries within 24 hours.
•    Reconcile vendor statements. 
•    Reconciling of Goods Receipt / Invoice Receipt (GR/IR) and the ability to troubleshoot and resolve complicated discrepancies between invoice and purchase order.
•    Follow-up on weekly hedge requests.
•    Present weekly cash disbursement requirements during working capital meetings with Director of Treasury.
•    Monthly meetings with Controllers representing highly focused vendor accounts.
•    Submit new vendor/change requests as needed through Master Data Governance tool.
•    Review and analyze GAN submissions for legitimacy and accuracy. 
•    Auditing and processing of SAP Concur submissions.
•    Month end requirements (accruals, transaction by user, ADP, blocked report analysis).
•    Work with internal and external auditors quarterly.
•    Review and comply with Canadian leased properties and rentals.
•    Reconcile monthly utility accounts for various branches within Canada.

Qualifications

  • 3+ years Accounts Payable experience a must.
  • SAP (Systems Applications and Products) experience an asset.
  • Ability to discern and solve issues. Analytical mindset a must.
  • Knowledge of procurement processes and controls would be an asset.
  • Highly organized and capable of communicating effectively and efficiently (written and oral) with all internal / external stakeholders.
  • Attention to detail and proficient at data entry a must.
  • Ability to handle a busy & varied workload and work within defined timelines while maintaining accuracy. Ability to multi-task a must.
  • Strong organizational skills.
  • Desire and ability to work collaboratively within a team environment.
  • Working knowledge of MS Office.

Working Conditions

Fast-paced, collaborative general office environment. Many tasks have high degrees of time sensitivity. Project and task requirements regularly shift and change to meet business needs.
